The night-before checklist

Box selection

  • Match the box dimensions to the product. Oversized boxes attract higher courier rates and increase damage risk because of void space.
  • Use double-corrugated (3-ply minimum, 5-ply for heavy or fragile items). Single-ply is false economy.
  • For apparel, use waterproof poly mailers in the correct size, not boxes.

Internal protection

  • Wrap fragile items in at least two layers of small-bubble bubble wrap.
  • Use kraft paper or air pillows to fill voids — never plain newspaper.
  • For liquids or cosmetics, use a secondary plastic seal under the outer carton.

Sealing

  • Apply H-tape across both flaps and the centre seam. Single strips peel in transit.
  • Brown packing tape at least 48 mm wide. Avoid stationery tape.
  • Reinforce edges if the parcel weighs more than 5 kg.

Label checklist

The label is the single most important component on the parcel because it is the only thing the courier sees. A few standards every Amazon seller in India should hit:

  • AWB barcode width: at least 38 mm. Couriers reject under-width barcodes at hub scans.
  • Address legibility: all four lines of the recipient address must be clearly readable from arm's length.

  • Adhesion: direct-thermal labels stick best to dry cardboard. For poly mailers, peel-and-stick is fine.

  • Tax invoice: ensure each parcel has a valid GST invoice if your category requires it. Amazon emails the invoice to the buyer; you may or may not need to physically attach a printed copy depending on category.
  • Pick-list: a one-line summary of SKU, quantity, and order ID stuck under the label helps the packer cross-check before sealing.
  • Replacement / return information: include a printed insert with return instructions if your category has high return rates.

Courier handover checklist

  1. Generate the daily manifest from Seller Central before the pickup window starts.
  2. Stage the parcels label-up in a single row so the driver can scan them sequentially.
  3. Count the parcels yourself and write the total on a sticky note. Match the count to the manifest before scanning starts.
  4. Insist on a signed copy of the manifest or a digital acknowledgment after pickup.
  5. Note any parcels the driver refuses (over-weight, mis-labelled, missing manifest entry) and fix them the same day.

Make the manifest signature non-negotiable. A signed handover is your only proof that the courier accepted custody of the parcel. Without it, "lost in transit" claims can fall on you.

Red flags that lead to RTO

  • Labels that came out of the printer faded or with broken barcode lines.
  • Boxes that flex when squeezed — they will collapse in a 30-parcel stack at the hub.
  • Address lines containing alternate spellings of the recipient's name, building, or landmark vs the Amazon order.
  • Pickup attempted outside the assigned window — drivers often refuse out-of-window parcels.
  • SKU mismatch between pick-list and the item inside the box.
